Are you a detail-oriented and organized individual with a passion for contributing to the growth and improvement of your community? We are looking for an Administrative Assistant to join the Development Services and Public Works department. The Administrative Assistant is responsible for overseeing the daily office operations of the Development Services and Public Works and its various departments. This work involves providing administrative support to the Department Head and department leaders.

Representative List of Essential Duties and Responsibilities:  The list is not intended to be all-inclusive nor exclusive but is intended to provide examples of typical duties performed. 

  • Performs various clerical office work such as word-processing, filing, copying, data entry, and answers calls as needed for areas within DSPW.
  • Keeps department staff informed and updated on departmental policies and procedures.
  • Assists the Director with daily office operation.
  • Assists the director with the preparation of operating and capital budget.
  • Monitors office supplies and equipment.  Orders new furniture, equipment, electronics, supplies, tools etc. as required.
  • Reports office progress to Department Head and works to improve office operations and procedures.
  • Documents operational tasks and policies and reporting to Department Head and department leaders.
  • Works with various department divisions on procurement of goods and services.
  • Reviews requests from staff, process requisitions and purchase orders.
  • Maintains inventory of department vehicles; maintains keys for vehicles and department buildings.
  • Maintains vendor files, tracks purchase, ensures timely payment of invoices, confirm purchase accuracy.  Follow up with staff and vendors on purchase status.
  • Responds to citizens, salespersons, contractors, etc. concerning policies, procedures, information and guidelines with regard to department operations; receives complaints from public, triages and assigns follow up to the appropriate department manager as needed. 
  • Assists and trains staff on new policies and software implementations.
  • Assists the Director with tracking budget expenditures.
  • Tracks department projects and maintains calendar of important dates.
  • Receives and codes department invoices for approval by Director.  
  • Establishes and maintains effective work relationships with others.

Education/Experience: Associates’ degree and three years’ related experience and/or training; or equivalent combination of education and experience.  

Compensation: Compensation for this position is $$47,156.00 - $64,268.00, based on education and experience. Applicant must also satisfactorily pass a background check and pre-employment drug screen after receiving conditional offer of employment.
